Concierge Service

Prior to departure, clients may utilize travel advisor for assistance in concierge service. This includes research and reservation/booking of restaurant/dining reservations, event ticketing (sports, theater and performing arts, music, etc), and a la carte museum or gallery ticketing. Clients are advised that concierge service is often very time-consuming and many agencies do not offer this, as professional concierges are separate full-time occupations. To this end, the following fees are necessitated to provide for this bespoke offering:

$200 per week, per couple
$350 per week, per family/group of 4-5
$500 per week, per group of 6-8
…+$50 per additional group member (groups larger than 8, per week)

Two complementary restaurant reservations for up to 5 people can be requested with any booked itinerary. Museum tours included as part of itineraries will already have entry tickets included, so a la carte tickets do not need reserved as part of concierge services.

Concierge services are not offered during travel. If reservations are needed while traveling, clients are advised to consult with the concierge/staff at their hotels while traveling. In the event that reservation date or time changes need to be made while traveling, it is the clients’ responsibility to contact the venue/restaurant directly via the contact details provided in their travel documents. Prior to travel, changes to reservations may be made once by the advisor (subject to availability), after which it will be the client’s responsibility to make subsequent changes.

Please note that advisors do not make spa, salon, or beauty reservations. Clients may consult their hotels directly for assistance or recommendations.

Cancellation Fees*

Total cost of trip (Per person)Per person fee
Up to $5000 $200
$5000-$10,000$400
$10,000-20,000$600
$20,000+$1000

*Fees are PER PERSON, and charged only if/when full payment has been made. Cancellation fees are necessitated due to loss of expected income for the travel advisor and due to the large amount of work that the advisor has already put into the trip. The fees listed above account only for Grandview Travel’s administration fees and may not include possible nonrefundable fees charged by destination suppliers (hotel, tours, transportation, etc) booked as part of your itinerary. Please discuss cancellation details with your travel advisor. Cancellation fees may be turned into credits toward future trips if rebookings are made within 6 months of trip cancellation.

Annual Subscription

If a new or existing client wishes to utilize the agent’s services multiple times throughout a calendar year, they may negotiate a flat up-front year’s rate for the agent’s services, which would cover all of the above, with no additional fees charged. Annual subscription rates start at $3000 per couple and $6000 per 4-person family with children. Please contact agent if interested at natalie@grandviewtravel.com

Additional Notes

All fees may be adjusted based on agent’s discretion or the nature of individual requests. Adjustments will be discussed with clients.

Requests made for travel less than 1-2 months in advance may be considered last minute bookings, especially during holiday or high season, and will be subject to at least $100 in up-front “last minute” booking fees in order to accommodate the nature of such requests, which may require the agent to drop other projects to accommodate the request. Fees may be adjusted at any point, at the agent’s discretion, based on the initial or changing nature of the request.

Agent may on occasion request additional fees during planning process if the nature of a travel request has changed drastically from the initial trip request.

I do not book or manage airfare during the festive season (December 20-January 2).

Explanation of Agent Income

Though it may have been gauche at one time to discuss salary openly, I feel it is helpful to explain how travel agents make their income in order to understand the above fee structure. Because the majority of travel agents have had to modify their business models due to the ongoing changes in the industry and the worldwide travel environment brought about by the Covid-19 pandemic, many agents in the US currently work on an “independent contractor” model, including myself. This means we are not salaried or hourly despite working full time hours, and are paid solely on commission and fees. These fees we receive up-front, but commission payments we receive only in the event that clients follow through on bookings and travel on their trips (if clients cancel trips, we do not receive payment). We receive commission on average 2-4 months after the client returns from their travels. Therefore, an increase of up-front fees is necessary to fairly compensate travel agents such as ourselves for the many hours of work we put into researching, customizing, writing itineraries, booking, arranging logistics, staying on-call at all hours of day and night while clients are traveling, searching for prices within client’s budgets, etc. We are grateful as always for your patronage and understanding.
